The method
From problem to running solution
Problem “Enquiries sit unanswered after hours.”
Start with the problem
What problem are you trying to solve?
Pick the one closest to yours. We will show you what usually causes it and what we would look at first. Nothing here assumes you need software, AI or more people.
What RunBizFlow actually does
We solve operational bottlenecks by combining the right people, processes and technology.
We are not a tool vendor, an AI agency or a pool of freelancers. We identify what is slowing a business down, design the answer, implement it, and, where it makes sense, run it for you.
The answer is sometimes a better process, sometimes software you already own configured properly, sometimes a custom application, sometimes a trained team member or a whole managed function. We choose the simplest effective option, and we say so when that option is not us.
01
Discover
Find the real problem before buying a solution.
Process assessments, sales and CRM audits, workflow analysis and outsourcing assessments. You get a written diagnosis, a recommended solution, the resources it needs and a roadmap.
Fixed-fee diagnostic
02
Build
Implement the solution, in software or in process.
Custom applications, portals, integrations, CRM implementation, automation and data migration, delivered against milestones you can inspect.
Fixed price, milestone payments
03
Staff
Add people when the problem is capacity, not tooling.
Where a bottleneck needs hands, we recruit, train and supervise the right roles. Roles are validated and scoped with you; nothing is promised before capacity is confirmed.
Scoped to roles, hours and service levels
04
Operate & Scale
Take responsibility for running the function.
We run an agreed process end to end, or a dedicated team, against written scope, quality standards and service levels, and improve it every month.
Recurring monthly contract

Our methodology
Discover. Diagnose. Design. Build. Operate. Optimize.
The same six steps whether the answer is a checklist or a managed department. Skipping to “build” before diagnosing is how businesses end up with expensive solutions to the wrong problem.
01Understand
Discover
We learn the business model, the stakeholders, the operation and the outcome you want, in your words.
02Find the cause
Diagnose
We trace the symptom to root causes: bottlenecks, existing systems, and what the problem is costing you.
03Choose the fix
Design
We compare options and define the simplest combination of people, process and technology that solves it.
04Put it in place
Build
We develop, configure, integrate and, where needed, recruit and train, against agreed milestones.
05Run it
Operate
We manage the agreed process, system or team under written scope and service levels.
06Improve it
Optimize
We measure results against the starting point, review them with you and keep improving.
See it work
From business problem to a running solution.
Choose a problem, then step through what happens at each stage, what you receive, and where process, people and technology each come in.

Business problem
Web and phone enquiries sit unanswered after hours and on busy afternoons.
01 · Understand
Walk the enquiry path from first touch to booked job with the owner and the person who answers the phone.
You receive
Stakeholder notes and a one-page picture of today’s path.
We learn the business model, the stakeholders, the operation and the outcome you want, in your words.
02 · Find the cause
Pull a sample of recent enquiries and measure time to first response and where each one stalled.
You receive
Response-gap table by channel and hour of day (illustrative).
We trace the symptom to root causes: bottlenecks, existing systems, and what the problem is costing you.
03 · Choose the fix
Compare rungs: a shared inbox and rota (process) versus instant acknowledgement plus a trained responder (automation plus people).
You receive
Option comparison with effort, cost bands and risks.
We compare options and define the simplest combination of people, process and technology that solves it.
04 · Put it in place
Configure the CRM intake, connect the form and phone log, write the response SOP and train the responders.
You receive
Working intake, SOP, responder checklist.
We develop, configure, integrate and, where needed, recruit and train, against agreed milestones.
05 · Run it
Run enquiry handling inside agreed hours with named escalation, once coverage is validated.

Business problem
Recruiters spend hours a day re-keying CVs, chasing availability and updating the ATS.
01 · Understand
Shadow a recruiter through one placement from application to offer.
You receive
Task inventory with time per step.
We learn the business model, the stakeholders, the operation and the outcome you want, in your words.

Technology and human expertise
We start on the lowest rung that solves the problem.
Most vendors sell the rung they are good at. We list them all, in order of cost and complexity, and recommend the simplest effective one.
Technology removes repetition. People supply judgment, empathy and accountability. Process is what makes either reliable. Good outcomes use all three, in proportion.
- AFix the processOften the answer is a clearer hand-off, an owner and a checklist. No software.
- BConfigure what you already ownYour CRM or helpdesk can usually do more than it is set up to do.
- CConnect existing systemsMove data between tools you already pay for.
- DAutomate the workflowRule-based, repeatable steps run without a person.
- EAdd AI where judgment on text or documents is neededClassification, extraction, drafting, with a human reviewing what matters.
- FBuild custom softwareWhen the workflow itself is your advantage and nothing off the shelf fits.
- GAdd human operational supportWhen the work needs judgment, empathy or phone calls.
- HManage the function for youWhen you would rather own the outcome than the operation.
- ICombine themMost real engagements mix several rungs. Each is chosen, not defaulted to.

Managed services and outsourcing
Three ways to add people. We default to the one with clear accountability.
Not every arrangement that involves people is the same legally or operationally. We name the structure plainly so you know who is responsible for what.

Why businesses work with us
Five commitments that tell you what working with us is like.
- 01
We will tell you when you do not need us.
If configuring the tool you own solves it, that is the recommendation.
- 02
One accountable party.
Process, software and people sit under the same management, so nothing falls between suppliers.
- 03
Written scope, written price.
No open-ended hours. Every stage has a deliverable you can inspect.

We never overpromise capacity.
Roles and coverage are validated before they are offered, not after they are sold.

Measured against where you started.
Every engagement begins with a baseline, so progress is evidence rather than opinion.
Questions
Straight answers.
What does RunBizFlow actually do?
We solve operational bottlenecks by combining the right people, processes and technology. That can mean a diagnostic, a piece of software, an automation, a trained team member, or a managed function. We start with the problem, not with a tool.
Do I need AI or custom software?
Often not. The first question is always whether a clearer process or better-configured software you already own solves it. We recommend the simplest effective option and will say so when the answer is "less than you expected".
How does an engagement start?
With a Business Operations Review: a conversation about what is slowing you down. If there is a fit, the next step is a fixed-fee diagnostic that ends in a written diagnosis, recommendation, resource estimate and roadmap.
Can you provide people as well as technology?
Yes, where the problem needs capacity. We scope roles, hours, language, supervision and service levels first, and we only commit to coverage once it has been validated for your engagement. We do not promise standing headcount we have not confirmed.
What is the difference between a managed service and a dedicated team?
In a managed service we own the outcome and run the process. In a dedicated managed team we provide and manage capacity for you. Staff augmentation, where your people supervise ours directly, is only offered after the employment and licensing rules have been assessed.
Where is the work delivered from?
Operational delivery is based in Morocco. We serve clients in the United States, the United Kingdom and Australia, and we confirm working hours, overlap and language requirements per engagement.
How is pricing structured?
Diagnostics are fixed-fee. Builds are fixed-price with milestone payments. Managed services and dedicated teams are recurring monthly contracts with a defined scope. We share prices after scoping, in writing.
How do you handle our data and confidentiality?
We work under confidentiality and data-processing terms agreed up front, with access limited to what each role needs. We do not claim compliance certifications we do not hold.

A Business Operations Review is a straightforward conversation about the problem. If we are not the right fit, we will say so.
